QR Codes in Engage

QR Codes are available throughout the Engage application providing an easy link to relevant information. These codes can be downloaded in image format that can be printed onto stickers and stuck to assets / lanyards / hazardous substance containers etc.

Asset QR Codes

An Asset QR code gives employees access to the asset report in the Engage app, including asset details and maintenance history. Where forms have been linked to the asset, employees can also open and complete those forms from the report.

We recommend printing a copy of the QR code to add to your asset for any employees that need to access this information on the go, instead of having to get this from the computer.

To download a copy of the QR code, click on Assets / Assets / "View" next to the particular asset.

On the Basic Details tab, you can scroll down to find the QR code:

If you click on Download Image, you are able to print off the QR code to be used for scanning.

Open forms linked to an asset

Forms linked to an asset are available from its QR code in the Engage mobile app. For example, a vehicle check form can be linked to a ute so employees can open the check while standing beside it.

Open QRCode Scanner and scan the asset’s QR code.
Tap View Report to open the asset report.
Under Complete forms for this asset, select the required form.
Complete and submit the form.

To make a form available here, select the forms to link when adding or editing the asset on the web, then save the asset. Linking a form for completion is separate from using an Asset Selector within a form to associate a submitted form with an asset.

Employee QR Codes

An employee QR Code can be found by clicking on Employees / "View" next to the particular employee.

If you scroll to the bottom of their "Employee Bio" tab, you will find a copy of their QR Code:

If you click on Download Image, you can print off a downloaded copy of the employee QR code that can be scanned by the Engage app to download a copy of the employee's training record as needed.

If you do not have access to a computer to download a copy of the QR code, you can also access the QR code on your Engage app. To do this, click on the QR code button at the bottom of the app:

On this page, you also have the ability to download a PDF copy of your own Training Record if you needed to show this at any point in time. The document will display in landscape mode, but you can zoom in on your smart phone or share to another platform as you need.

How to Scan a QR code using the Engage App

To scan a QR code with the Engage App, all employees have access to the QRCode Scanner button which is accessible by scrolling down on the Engage home page.

After you have clicked this button (and allowed Engage access to your phone's camera), you will be able to scan any Employee or Asset QR codes as required.

Once the QR code has been picked up, open the relevant report or restart the scan as needed. For an asset, tap View Report; any linked forms are listed under Complete forms for this asset.
