Capex

Capex is a function within Engage that allows you to manage the request and approval process for Capex items. This module works in conjunction with the Expense Claims module, but either can be switched on as applicable for your business.

Capex Set-up

Before using the Capex functionality, you are required to set up the expenditure types that you allow through the Asset Attributes section. These asset attributes will appear in the relevant drop-downs when creating a new Capex request. To learn more about Asset Attributes, please click here

You are able to set Capex approvers by clicking on the Red icon by the initial asset tier. You can have up to 3 approvers per asset classification. 


You can make your approved Capex requests pull through as an Asset automatically by checking 'Create asset on approval?' to Yes. You will find the approved capex number when searching for the asset under Assets / Assets, which you can then Edit and customise as required. 



Please note that only those with Expenditure Requests: Manage will have the ability to submit a Capex request.


If there are any outstanding Capex requests in motion, you will not be able to change the capex approvers until the capex has been approved / declined from all levels of approval. 


Submitting a Capex Request

To create a new Capex request, click on Expenditure / Capex / 'New Request'.



Fill in the relevant form. Note that fields with a red asterisk are mandatory.



When filling in the form, you are able to fill it out on behalf of an employee. 

You also have the ability to upload quotes, and you can enter multiple lines at once. If you need to come back to your Capex form at a later stage, you can save and revisit at a later date before you submit for approval. 

Once a Capex form is submitted, an alert is sent to the approvers before it is granted. 



Approving / Declining / Requesting more Information from a Capex Request

The approver's allocated under the Asset Attribute tab are able to check outstanding requests on their Dashboard through the web under Expenditure Request Awaiting Approval, or via the App under Your Actions / Capex Approvals. 

To approve or decline the Capex request, click on 'View' / Approve, Decline, or Request more details. 



You are also able to do this via the Engage app on the go as needed by popping to the Your Actions section / Capex Approvals:


The employee making a Capex request will then receive an email notification once the request has been approved / declined, or if they need to supply more information.
