Roles appear in a variety of locations throughout Engage. When setting up your Roles, consider the following:
- When setting up an Employee Profile they will need to be allocated a Role.
- Assigning Training Courses to specific Roles.
- Allocation of Health Checks to specific Roles.
- You have the ability to assign Procedures to Roles at company level.
- If you wanted to add Role-specific Policies you are able to set these up.
- Uniform Allocation can be assigned per Role.
- Certain Forms can be assigned to Roles set up within your company.
- You have the ability to send Text Messaging specific to certain Roles.
- Reporting can be broken into Roles as needed.

Setting up a Role
To set up a role, from the main menu go to Customer Admin / Organisation / Employee Roles.
Click on the "New Role" button, and fill in the relevant details. Please note, a red asterisk denotes a mandatory field.
If the role is driver based, clicking on the Driver Based checkbox will ensure that the new employee form makes the capture of driver details mandatory.
To amend the role once created, simply click on the "Edit" icon to make changes.
If the role is no longer required, then click on the "Delete" icon. Please note, you cannot delete a role while employees are assigned to it. You will have to amend the employee records before doing so.
Assigning a Role
Once a role has been created, you can assign it to an employee during the add new employee process, or via the profile edit button if the employee is already created.

Role Policy
To add a new policy at role level, click on the "View" icon next to the role; click on the "Add New Role Policy" button at the bottom of the screen and upload the document.

Please note; any employee with this role will be notified that a new policy is required to be read via an email notification.
