Engage TimeClock is used to capture the Clock-In and Clock-Out times of your employees. The TimeClock module utilises an employees existing Work Schedule to capture start and end times relating to their set up in Engage. Engage TimeClock also picks up any Leave Requests or public holidays. Any overtime greater than 15 minutes is highlighted and will need to be approved by the relevant manager as overtime. You also have the ability to export timeclock data into the format required by your payroll software.

Setting up TimeClock

To get the TimeClock application running after it has been added to your Engage account, you need to administer the relevant authorities. To do this, you need to enable the TimeClock authority and set them as appropriate. ‘Login’ allows the employee to see all timesheet information, and has the ability to log in to the TimeClock tablet application. Those with Branches in Employee Company authority can see timeclock data relating to specific branches. 

Enabling Employees to be TimeClock Users in Engage


To make an employee a TimeClock user, simply edit their employee profile, and check the “TimeClock User” button, then save. They will then be found on the TimeClock listing screen and can use the tablet (or mobile app depending on set up requirements) to Clock-In and Clock-Out.


Downloading the TimeClock App

You will need a Samsung Tablet to be able to use the TimeClock App. You can either search for Engage TimeClock in the app store, or follow this link:

Once you have downloaded the link, you will be prompted to log in, those with the Login authority can use their credentials to sign in here. You will then need to select a branch and your employees can begin using the tablet.

Clocking In and Out on the Engage TimeClock Tablet App


When you want to Clock In to the TimeClock App, simply click on the Clock In button:


Select your name from the list:


Enter your PIN (this is your Employee ID set against your employee profile):


Take a photo (remember to smile!):


And that’s it! When you are done for the day, don’t forget to follow the same procedure for Clocking Out.


Clocking In and Out with the Standard Engage App


There is also the option to Clock In and Out using the Engage app. The setup will vary depending on what is required at Company Level. To Clock In using your Engage app, click on Time Clock at the top of the page:

  

You are able to access your Weekly Timesheet to see your Clock In and Out information from the week. In Engage, a week is determined from Monday to Sunday.

Quick View


By clicking on TimeClock / Dashboard, you can access the Quick View panel to show information about employees. This shows all employees, and you can use the search box to find particular employees. If you click View, it will show you the weekly information relevant to the specific employee.

The Quick View screen shows an employee’s schedule for the week. Entries can be amended by clicking on them and manually changing the time as needed. Any dates highlighted in Red reflect inconsistencies against an employees work schedule.

If you click on the date record, you will see Reasons behind the inconsistences, as well as the employee’s Clock In and Out photos.

You can Update as required when viewing the entry, or add new manual entries from the overview screen.

Inconsistencies

Inconsistencies logged within a pay period highlights any anomalies that are picked up outside of any employee’s regular Work Schedule (note the 15 minute grace period). These show on the TimeClock Dashboard. Viewing the inconsistency will take you to the employee’s overview screen as shown above.

If you click on TimeClock / Overview, you will be taken to a full listing on employee clock in times for the week. Note that what you see here will depend on authorities given.

If you hover over the Employee’s name, you are able to see their given work schedule for quick reflection of hours and leave balances. If you click on an Employee’s name, you will be taken straight to the relevant employee’s Leave page where you are able to apply for leave as required.

Each colour shown in the Overview screen represents a different meaning. There is a guide to these meanings that can be found by hovering over the ? button at the end of your timesheet week.
