Adding a new Maintenance Schedule
Date-based maintenance could refer to ongoing events relating to an asset, such as a 'WOF' for vehicles, or annual servicing.
To add date-based maintenance in Engage, you firstly need to set up the name of your schedule by popping to Assets / Maintenance / "New Maintenance". Fill in the form, ensuring that 'Date' is selected as your schedule type. Once selected, it will prompt you for a unit of measurement (days, months, years etc) as well as the frequency count.
Once you have saved your maintenance schedule, you can then click on Assets / Assets / "View" the relevant asset you would like to add this maintenance schedule against.
Click on 'Maintenance' to bring up a drop-down and select Scheduled Maintenance / 'Assign Maintenance'.
Fill in the relevant form, ensuring that 'Date' is selected as the Schedule Type, and you will see your Maintenance Schedule appear in the drop-down. Please note, fields with a red asterisk are mandatory fields.
The starting date is when you would like the maintenance schedule to begin. You have the option of repeating your maintenance schedule indefinitely, or until a specific date.
If you choose to put your maintenance schedule under 'Priority Asset Maintenance', this will appear under 'Asset Maintenance' and 'Priority Asset Maintenance' widgets on the Engage dashboard. Please note, only those that are marked as Company Asset contacts have the ability to see the Priority Asset Maintenance widget.
To amend your company asset contacts, click on Customer Admin / Organisation / Companies / "Edit" next to the company / add relevant staff under this field. Any employee(s) marked as Company Asset contacts have the ability to view / edd / add maintenance for all assets entered into Engage.
Adding Maintenance to an Asset
Once your schedule is set up against your asset, you can then add records of the maintenance that was completed. To do this, click on the + symbol to the right hand side of the record. The plus symbol on the left expands the record to show you the maintenance history.
You are then able to fill in the form to capture the details / date / financial information and document if applicable. Once you save the record, the next due date will be automatically picked up based on the parameters set up in the schedule.
3 Months prior to when the maintenance is next due, we will show the maintenance record on the dashboard, and 4 weeks prior we will send the person who is assigned the asset, as well as the company asset contacts an email reminder.
If you would like a summary of asset maintenance information, you can find this under Reports / Report Builder / Asset Maintenance. Please note, what you will see in this report will depend on your authorities given.
