Classifying Assets with Asset Attributes

Asset Attributes are used to classify assets into logical groups and record information specific to each type of asset.

For example, a vehicle may require registration, make, model and fuel information, while a generator may require output, voltage and fuel-capacity details.

Before you begin

Before classifying an asset:

  • Confirm that you have authority to create or edit the asset.
  • Identify the most appropriate classification for the asset.
  • Gather any technical information required for that asset type.
  • Check whether the classification already exists.

Asset Attribute classifications are configured by your organisation. The names and structure available in your Engage site may therefore differ from the examples shown in this guide.

Quick steps
  1. Create a new asset or open an existing asset for editing.
  2. Locate the Asset Attributes section.
  3. Select the appropriate classification.
  4. Work through each available classification level.
  5. Complete any additional fields displayed.
  6. Save the asset.
  7. Review the classification on the saved asset’s Attributes tab.

Classify the asset

1 Open the asset

To classify a new asset, go to:

Assets > Assets

Click + New Asset and complete the asset’s main details.

To change the classification of an existing asset, open the asset from the Asset Register and select the option to edit its details.

2 Locate Asset Attributes

Scroll to the Asset Attributes section of the asset form.

This section contains the classification options configured by your organisation.

The available classifications may be displayed as a hierarchy containing several levels.

Example:
Plant & Machinery > Minor Plant > Generators

3 Select the classification

Select the classification that most accurately describes the asset.

Start with the highest available level and continue through the hierarchy until the most specific classification has been selected.

Example:

  • Level 1: Plant & Machinery
  • Level 2: Minor Plant
  • Level 3: Generators

Use the lowest appropriate classification level rather than stopping at a broad parent category.

For example, classify a diesel generator as Generators rather than leaving it under the broader Plant & Machinery category.

Accurate classification makes assets easier to find, report on and manage.

4 Complete the additional fields

Selecting an Asset Attribute classification may display additional fields created specifically for that type of asset.

Complete the fields that apply to the asset.

Examples may include:

  • Make
  • Model
  • Year
  • Colour
  • Fuel type
  • Registration number
  • Engine number
  • Output or capacity
  • Voltage
  • Dimensions
  • Technical ratings

The fields displayed depend on how your organisation has configured the selected classification.

Enter accurate information where it is known. Do not invent technical details merely to fill an empty box—the machine will not be impressed.

5 Review and save

Before saving, check that:

  • The classification accurately describes the asset.
  • The most specific appropriate classification has been selected.
  • All relevant additional fields have been completed.
  • Technical information has been entered correctly.
  • The asset has not been classified under an unrelated category.

Click Save.

Engage will open the saved asset record.

6 Review the Attributes tab

After saving, open the asset’s Attributes tab.

The Attributes tab is the second tab from the left on the saved asset record.

The tab displays:

  • The selected Asset Attribute classification path
  • The additional fields associated with that classification
  • The information entered against those fields

Review the information and confirm that the classification and field values have saved correctly.

If the classification is missing

The required classification must exist in the Asset Attribute structure before it can be selected against an asset.

An authorised employee can review the available structure under:

Assets > Asset Attributes

If the required classification is unavailable, speak with your Engage administrator or an employee authorised to manage Asset Attributes.

Avoid selecting an incorrect classification simply because it is the closest option currently available.

After saving

Once the asset has been correctly classified, the Asset Attribute information can be used to support:

  • Asset searching and filtering
  • Consistent asset records
  • Reporting
  • Maintenance planning
  • Technical and operational information
  • Asset-type-specific forms and processes

Update the classification or Attribute information when the asset details change or when incorrect information is identified.

Changing a classification may change the additional fields displayed for the asset. Review the saved Attributes tab after making any changes.

Common problems

The correct classification is not available
The classification may not have been created in the Asset Attribute structure. Speak with an authorised employee or your Engage administrator.

I can only see a broad parent category
Select the parent category and check whether another classification level becomes available.

No additional fields are displayed
Additional fields may not have been configured for the selected classification. Confirm that the most specific classification level has been selected.

Different asset classifications display different fields
This is expected. Additional fields can be configured separately for each Asset Attribute classification.

The information is not showing on the Attributes tab
Confirm that the asset was saved after selecting the classification and entering the additional information.

I selected the wrong classification
Edit the asset, select the correct classification, review the additional fields and save the asset again.

I cannot edit the asset
You may not have the required Asset authority. Speak with your Engage administrator.
