Bulk-Marking Training as Complete

In Engage, you have the ability to mark training courses complete via each individual profile, or if a number of employees completed a course at the same time, you have the ability to bulk-mark the completion dates against the employees to save adding this information individually.

In order to bulk-mark training as completed, you must first ensure that you have set up the training provider information. To learn more about setting up your training providers, click here

Once you have done that, you can then pop to Orders / Book Training. Fill in the form with the Training Course, the time, date, and employees that were on the course. Please note that those with Admin: Companies authority have the ability to book training for all employees, and those with Admin: Branches can book training relevant to their specific branch. On confirmation of your order, you can work through to allocate individual costs of the course, allocate applicable Cost Centres to the employees (these default to the Cost Centre allocated to the employee's record, but can be manually adjusted if required), as well as record any notes against employees as required. 



When placing your order, you can select who you would like to alert via email regarding this training course. If you do not want to send an email out to anyone, you can simply select 'Place Order'. 



Once the training course has been completed, you can pop to Orders and view your order (note that the Orders listing page defaults to the last 3 months of orders, you may need to adjust your date range to find your course). 

From here, you can then either work through each individual employee to mark their training course as completed, allowing you to add the completion date, comments, and any relevant documents. Click on the Mark Complete button next to the employee to do this. 





Or, if an employee could not attend a course, and another employee was substituted in their place, you can click on Substitute to replace the employee. 




If an employee had to cancel their attendance for this training course, you can also Remove them as needed. 



To bulk mark a completion date against all employees on this course, you can click on Fully Receive Training, which will then prompt you to select the training completion date, and this will mark the date against all selected employees. Please note, you will not be able to add individual certificates or comments to employees via this method. 




Once the date has been added to the employees via this page, the completion date then automatically updates against the Training tab on the employee bio, which in turn picks up the next renewal date. The training reminder notifications will work the same as adding training to an employee individually. 

If the training course is NOT marked as part of their Role, Secondary Training Role, or Branch, but they have been marked as having completed the training, this will fall under their 'Other' Training section. 

Once all employees have been marked with a completion date, the status of the order will change to Training Order Completed. All information regarding when dates were added against employees can be found on the Workflow tab of the order.

If you need to make any adjustments to the training information, you can do so on the employee's individual training tab as required.
