Custom Form Ideas

Our Forms module has a tonne of flexibility and can be used in a wide variety of ways. So much so, that sometimes you can be spoilt for choice and can be unsure where to get started!

Here are some recommendations of the types of forms that have been used in Engage (please note that Engage spans across a wide variety of industries, so not all of these will be applicable for your requirements). 

  • A Pre-Start form / Check Sheet for your work site, vehicle, or piece of machinery; Engage has the ability to link directly to assets, making reporting and keeping on top of maintenance a breeze. 



  • A custom Audit form; allowing you to customise your questions depending on the Branch location. We also have the scoring system available to give a total percentage. 



  • Staff Surveys; by ensuring that the form is set for one-off scheduling rather than lifetime, this allows employees to submit a form once and then have it removed from their available forms list once completed. 



  • Employee onboarding and offboarding; when a new employee starts at your company there is a lot of things to keep on top of. By specifying what actions need to be taken, you can use the Engage automated actions to ensure all onboarding/offboarding steps are completed. 



  • Inspection Forms; providing custom questions and checklists relevant to the specific thing you are inspecting, with the provision of automated alerts or actions if something fails. 



  • Vehicle Mileage Sheets; by including asset meter-based maintenance schedules, and linking your form to the Asset selector, you can keep on top of your mileage data on the go. 



  • Work Station Assessments; Have you checked your work station set-up lately? Is it ergonomic, and do you have everything you need? You could use the Forms module to capture work space requirements to ensure that your team are working comfortably. 



  • Customer Complaint Forms; If you do not have an amalgamated system to capture details of customer complaints, you could use the Engage Forms to capture this information into one central location, and ensure that corrective actions are in place to rectify the complaint as required. 



  • Using Images to capture data; The Engage Forms links directly to your smartphone camera if the File Upload option is used. This can even be used offline if you are in an area with weak internet connection. You could put a form out to capture employee profile pictures / selfies to fill in Engage and capture ID photos, you could take various site photos for a potential upcoming job, or you could even host a competition to encourage staff to send in funny photos of their pets or memes. 



  • Capturing employee coffee or food orders; If you sometimes shout your team a coffee or a lunch, you can use Engage Forms to make collecting everyone's orders in advance super easy, meaning that you can place a hassle free bulk order with your chosen food or coffee provider - you also have written evidence if anyone decides to change their mind! ;)


  • If you have a tablet available that you can put in your reception area, you could create a very basic* Visitor Sign-in/out system using the Engage Forms. This could capture visitor name, company, and information regarding who they are visiting. To set this up, we recommend assigning the forms to a Kiosk User, and then signing in to this tablet as the Kiosk User to limit user functionality. If you wanted to, you can add an automated alert against an answer to trigger an email notification to an internal employee once a visitor form is submitted. If you needed to refer back to sign in information at a later date, you can use Forms / Reports as required. 
*Please note Engage does not have a dedicated sign-in/out module as of yet, and functionality implementing this type of form is limited.
