Once you have selected the type of report you would like to see, you can then customise the information you see in the report by using the Columns and Filters.
Columns
Columns dictate the information that pulls through on to your report. You are able to remove certain columns by clicking the X next to the piece of information you do not want to include, and if you click on the blank space in the Columns box, a drop-down will appear that provides a variety of other information that you can pull into your report as needed:
Filters
Filters customise the type of information you want to see from the Columns in your report.
Filter By refers to the column at hand, Operator is the type of operation you would like to perform, and the Value is the data you want the rule to follow.
Once you are happy with your filter, you will need to click on Run Report to action it.
Common Examples and Engage Recommendations
Incidents dates that occurred within a certain period: Ensure 'Incident Date' is selected under Columns, click on 'Add Filter', set the Filter By to 'Incident Date', set the Operator to 'between date', and then select the two dates for your value field from the 2 date pickers. Remember to click on 'Run Report' once you are happy with your Filter.
Current asset maintenance for a specific asset: Ensure Name and Maintenance Status is included in your Columns. When searching for an asset, you can either use a filter or the search bar to narrow down your report.
In the below instance we have used Filter By as 'Name', Operator as 'contains' and Value as the name of the asset. When searching for names, we recommend using 'Contains' rather than 'Equal To' to allow slightly more flexibility in picking up your data. If you use 'equal to', this is a very strict parameter, right down to specific spelling, number of spaces, and capital letters. If there are any deviations, it will not show in your report.
In the below example, we have also included Maintenance Status / equal to / Active; if you have maintenance that has been archived against an asset, you may not want to include this in your report.
Specific Employee Leave dates over a set period: If you require a report that shows employees that are on leave within a specific time frame, you can use 2 x Filters, including Leave Start Date / greater than date / (selected date), as well as a second filter that states Leave End Date / less than date / (selected date).
Alternatively, you could do Leave Start Date / between date (2 selected dates from the date picker calendars).
This report will then show you any leave requests within a set timeframe.
Once you are happy with your Filters, you can also drag and drop the columns into your preferred layout, and extract into clipboard/CSV/Excel/print-ready PDF as required by clicking on the associated button next to Search.
If you wanted to come back to your filters at a later stage, you can also click on Save Report to keep the same format, ready for next time. Please note if a specific date/s has been selected, this will just need to be re-selected on next visiting the report.
