The standard thinking when setting up your Asset Maintenance is to look at adding things such as your WOF's, COF's, servicing dates etc for vehicles and other pieces of machinery. However, there are no limits or restrictions on how you can set up your Asset Maintenance, or how you can use this module.
Some creative ideas that Engage users have come up with include:
Adding a Branch as an Asset
- Creating a new maintenance schedule for various servicing schedules that relate to the building, such as a Building WOF, a Fire Alarm, test and tags, servicing a fire extinguisher etc. (How to add a new Maintenance Schedule)
- When it comes to auditing, all previous maintenance history is stored against the one asset, which holds documents, details, and pricing if applicable.
- Notifications and reporting will work the same as your other assets, where the Company Asset Contact, and the person who is assigned the asset, will receive an email notification 4 weeks prior as a reminder, as well as start viewing upcoming maintenance on the 'Maintenance Due' Dashboard widget, as well as have access to reports, including Report Builder and Quick Reports.
- You can also create a form, include the 'Asset Selector', and select your 'Buildings' attribute to build custom forms such as audits, inspections etc, which will save against the linked asset. (How to build a Form).

Recording Software Licences as maintenance against a Computer
- In this example, you could add your Computer / Laptop as an asset, and then create a new maintenance schedule to keep track of all of your software licences / expiry agreements etc.
Regular servicing of Safety Equipment
- If you have safety equipment such as a harness that requires regular checks, you can store these as Assets and then add a regular maintenance schedule against them to keep on top of your servicing and ensuring that they are safe and up to spec.
